Key Responsibilities
Key Responsibilities For Event Logistics Coordinator (Virtual)
- Design, plan, and execute the end‑to‑end logistics for virtual events ranging from 50‑person webinars to multi‑day conferences with 10,000+ attendees.
- Coordinate with internal product, marketing, sales, and legal teams to secure platforms, licensing, branding assets, and compliance requirements.
- Manage third‑party vendors such as streaming providers, virtual venue platforms, and AV production houses, ensuring contracts, SLAs, and deliverables are met.
- Develop detailed run‑of‑show schedules, cue sheets, and contingency plans; oversee real‑time execution during live events, troubleshooting technical issues swiftly.
- Serve as the primary point of contact for speakers, sponsors, and attendees, handling invitations, rehearsals, onboarding, and post‑event follow‑up.
- Track event budgets, process invoices, and provide regular financial reporting to stakeholders.
- Analyze event performance metrics, compile post‑event reports, and recommend improvements for future virtual experiences.
- Maintain an organized repository of event assets, templates, and best‑practice documentation for the broader team.
Required Qualifications
- Bachelor’s degree in Business, Communications, Hospitality, or a related field.
- Minimum of 3 years’ experience coordinating virtual or hybrid events, preferably in a technology or SaaS environment.
- Proven ability to manage multiple complex projects simultaneously while meeting tight deadlines.
- Strong familiarity with virtual event platforms (e.g., Zoom Events, Hopin, ON24, vFairs) and basic AV/streaming concepts.
- Excellent written and verbal communication skills; comfortable presenting to senior leadership and external partners.
- Demonstrated analytical skills with experience reporting on attendance, engagement, and ROI metrics.
- High degree of professionalism, attention to detail, and a proactive problem‑solving mindset.

- Experience with project‑management tools such as Asana, Trello, or Monday.com.
