- Serve as the primary point of contact for all internal administrative needs, coordinating virtual office resources, supplies, and vendor relationships for a globally distributed team.
- Manage the onboarding and off‑boarding processes, including equipment provisioning, access permissions, and orientation scheduling, ensuring a seamless experience for new hires.
- Oversee the company’s remote expense reporting system, reviewing submissions, reconciling accounts, and liaising with finance to maintain compliance with policy.
- Maintain and update the central knowledge base, policies, and procedural documentation, guaranteeing that all team members have current information.
- Coordinate virtual events, town halls, and employee engagement activities, handling logistics, invitations, and post‑event follow‑up.
- Provide day‑to‑day support to leadership, managing calendars, travel arrangements (including virtual meeting setups), and preparing briefing materials.
- Track and report on key office metrics such as equipment utilization, vendor performance, and employee satisfaction related to remote operations.
- Act as a liaison between the remote workforce and external service providers, negotiating contracts and ensuring service level agreements are met.
Required Qualifications
- Minimum 3 years of experience in office administration or operations, preferably in a fully remote or distributed environment.
- Proven ability to manage multiple priorities simultaneously with strong organizational and time‑management skills.
- Excellent written and verbal communication skills; comfortable interacting with senior leadership and cross‑functional teams.
- Demonstrated proficiency with collaboration tools such as G Suite/Google Workspace, Slack, Asana, and expense platforms like Expensify or Concur.
- High degree of discretion and professionalism when handling confidential information.
- Bachelor’s degree in Business Administration, Management, or a related field, or equivalent practical experience.
