Key Responsibilities
Key Responsiblities For Virtual Assistant
- Manage calendars, schedule meetings across multiple time zones, and coordinate logistics for virtual and in‑person events.
- Draft, proofread, and distribute internal communications, presentations, and reports with a high degree of accuracy.
- Serve as the primary point of contact for external partners, handling inquiries, routing requests, and maintaining professional relationships.
- Organize and maintain digital filing systems, ensuring confidential information is securely stored and easily retrievable.
- Conduct research, compile data, and prepare summaries to support decision‑making for product, marketing, and operations initiatives.
- Track project milestones, update status dashboards, and alert stakeholders to upcoming deadlines or potential risks.
- Process expense reports, purchase orders, and vendor invoices in accordance with company policies.
- Assist with onboarding new hires by preparing welcome materials, setting up accounts, and coordinating training sessions.
Required Qualifications
- Bachelor’s degree or equivalent professional experience in business administration, communications, or a related field.
- Minimum of 3 years of experience providing high‑level administrative or virtual assistance in a technology‑driven environment.
- Proven ability to manage multiple priorities simultaneously while maintaining attention to detail.
- Excellent written and verbal communication skills; proficiency in business‑level English.
- Strong organizational skills with expertise in calendar management, travel coordination, and document preparation.
- Demonstrated discretion and ability to handle confidential information with integrity.
- Proficiency with Google Workspace, Microsoft 365, Slack, Asana, and video‑conferencing platforms (Zoom, Teams).
Desired Skills
- Experience supporting senior executives or C‑suite leaders.
- Familiarity with basic project‑management methodologies and tools.
- Knowledge of social media platforms and basic content scheduling.
- Ability to create simple graphics or visual aids using Canva or PowerPoint.
- Multilingual capability, particularly in Spanish or Mandarin, is a plus.
