Key Responsibilities
Key Responsibilities For Virtual Legal Assistant (Data & Admin)
- Manage and maintain the legal department’s case management system, ensuring accurate entry, classification, and retrieval of documents.
- Perform data extraction, cleansing, and reporting for litigation, contracts, and compliance matters using tools such as Excel, Power Query, and Microsoft Power BI.
- Coordinate virtual meetings, prepare agendas, take detailed minutes, and distribute follow‑up action items to stakeholders.
- Draft, proofread, and format routine legal correspondence, pleadings, and discovery requests under the supervision of attorneys.
- Track deadlines, filing dates, and statutory limitations in shared calendars, providing proactive alerts to attorneys and paralegals.
- Assist with onboarding and training of new legal staff on data‑entry protocols and document‑management best practices.
- Support the preparation of internal reports, dashboards, and presentations for senior legal leadership.
- Liaise with external counsel, vendors, and internal business units to gather required information and ensure timely delivery of documents.
Required Qualifications
- Bachelor’s degree in Legal Studies, Business Administration, or a related field; or equivalent combination of education and experience.
- Minimum of 2 years of experience in a legal assistant, paralegal, or legal operations role, preferably in a corporate or technology environment.
- Proficiency with Microsoft Office Suite, especially Excel (pivot tables, VLOOKUP, macros) and familiarity with legal case‑management platforms (e.g., Relativity, iManage, or similar).
- Strong organizational skills with a proven ability to manage multiple priorities and meet strict deadlines.
- Excellent written and verbal communication skills, with meticulous attention to detail.
- Ability to work independently in a fully remote setting while maintaining high levels of confidentiality and professionalism.
Desired Skills
- Experience with data‑visualization tools such as Power BI or Tableau.
- Knowledge of e‑discovery processes and basic understanding of litigation support.
- Familiarity with contract lifecycle management software (e.g., Conga, DocuSign CLM).
- Certifications such as Certified Paralegal (CP) or Legal Project Management (LPM) credentials.
